Inter Library Loans and Document Supply: Submit a request

Submitting requests

Please note that for copyright reasons we are unable to accept requests via email.

If you have not made an Inter-Library Loan request before or you need further information, please read the Before you submit a request section in this guide.

Requests should be submitted via ClioWeb.

  • Click on the link above and you will be asked to login using the same details you use to log into the University network. N.B. Some borrowers have reported problems logging into ClioWeb and are asked for a Domain/User name. If this happens, please enter UNI\ in front of your User ID e.g UNI\AB123.  Some users experience problems when using Chrome or Safari, in which case you may prefer to use Firefox/IE instead.

  • If you have not used the system before, you will be asked to register your details. This is a very quick process and you will be able to submit requests straightaway. A short video guide to registering for the Inter-Library Loans service, is available at the bottom of this page.

  • Click on 'Request' and select the relevant form e.g. 'Article' or ''Book'  or 'Book Chapter' from the drop down menu. Please remember that books might need to be collected from and returned to the library in person.

  • If you are requesting an article or a book chapter, you will be asked to read and agree to a copyright declaration before proceeding with your request.

  • Please complete the form giving as much information as possible.

  • If possible, let us know the date after which the item will no longer be of any use to you. This information helps us to make decisions about where to apply and when.

  • If you are requesting a book, let us know whether home/office reading is essential, or if you would be prepared to consult it in the library if a ‘Library Use Only’ loan turns out to be our only option.

  • When the form is completed, we advise you to click on the ‘Check Local Holdings’ button, so the system can check that it isn’t actually in stock at Middlesex.

  • Click on ‘Submit'.

You've submitted your request - what happens next?

  • You will receive an email to confirm that your request has been submitted and that the Inter-Library Loans team will be in touch shortly. The email will contain the details of your request.

  • We will open up your request and start searching for appropriate locations.

  • Once the request has been sent you will receive a notification email to your university email address to let you know it has been processed and giving you a reference number to quote, should you wish to query it at any point.  It will give details of charges and how to pay them. It will also advise you to register with the BL's On Demand service, so that you have a username and password ready to log into your document with when it arrives.

  • Please note that you may track your own requests within Clio - click on 'View my Requests'.

  • * Due to the Covid-19 situation, charges are suspended for the time being but a quota of 10 requests per academic year has been introduced for UG and taught PG students. Those needing more should discuss them with their liason Librarian. Charges, including lost item replacement charges, incurred before 15/03/2020 will stand.

  • You will be informed via your university email address if there are any delays, or more information is required.

  • Electronic links will be shipped directly to the address you specified on the form. Occasionally, we will be unable to obtain the article electronically and will have to accept a print version. If this happens you will be emailed and asked to collect it or provide a postal address.

  • Books will be sent to the library for you to collect. We will email you when they are ready for collection. Books are on loan for a period of six weeks and you are advised to use them promptly as there is no guarantee that we will be able to renew them.

  • To collect Inter-Library Loan items, please go to the Sheppard Library and show your ILL book collection notification email to the Reception Desk. You should then collect a ticket (Library Enquiries) from the UniHelp terminal and wait to be called to Desk 6.

  • Inter-Library Loan books may be collected and returned between the following times: Term: Mon-Fri 9am - 7pm, Sat and Sun 11am - 6pm. Vacation: Mon-Fri 9am - 5pm. Please ring 07785 447466 before travelling to confirm that the collection/return of Inter-Library loan items will be possible.
